The Management Assistant reports to the Regional Director and is responsible for performing secretarial, administrative and organizational work for managers, in accordance with internal guidelines and procedures.
RESPONSIBILITIES
- Plan and coordinate a regional busy appointments calendar in different time zones, set priorities and inform about follow up on agreement made.
- Record, organize and monitor the handling of correspondence, as well as preparation and processing of correspondence
- Document, archive and digitize information, keeping files and / or intranet up-to-date and monitoring the quality and clarity of the information
- Arrange complex and detailed travel plans for Managers, including international and/or intercontinental flights, hotel reservations, car services and other logistical needs (ensuring appropriate travel itinerary and/or documentation is included)
- Provide office and facility management assistant
- Maintaining the office condition and arranging necessary repairs
- Check frequently the levels of office supplies and place appropriate orders
- Organize company events and communications activities.

REQUIREMENTS
- Minimum of 3 years of relevant experience in positions with similar responsibilities.
- Good understanding of Outlook is essential.
- Fluent written and spoken English (Must have) / Good level of Portuguese (Nice to have)
- Able to work in a high-pressured environment
- A practical, ‘can do’ attitude and ability to produce quick solutions is essential.
- Strong organizational, time managements skills and multi-tasking abilities
- Location Juanicó, Canelones.
