Manage and mentor a team of 4 people

Design and develop policies and processes to build and maintain the overall built environment of the workplace, totaling about 59,000 sq ft. that is consistent with the business strategy and corporate standards and enables achievement of the business goals as it relates to the work environment. Be a single point of contact (SPOC) for all facility related issues with the site leadership, all employees and all stakeholders including leadership at headquarters. Be able to balance the competing objectives of the various constituents and align to corporate strategy and standards.

Responsible for maintaining the infrastructural dynamics of the working area. Create a schedule of regular evaluation of the facilities, interact with vendors and contractors to ensure that all the equipment is working properly. Negotiate agreements and monitor contract compliance and present monthly, quarterly and bi-annual reports & analysis regarding operational performance. Ensure quality service levels according to SLAs and global corporate standards. Track expenses following a preapproved operations budget. Develop and audit consistent schedules for multiple third-party vendors. Develop annual Capital and Operational expenses budgets



Main responsibilities to include, but not limited to:

§  Coordinate preventive, predictive and corrective maintenance routines to the existing assets

§  Ensure adequate Health & Safety Standards according to local policies and global corporate standards. Maintain the manuals for critical events, business continuity plans for the site and manage the floor warden programs

§  Perform contract and vendor management functions for third party janitorial, security, house-keeping and maintenance companies

§  Update procedures and manuals periodically

§  Handle facility related purchases in compliance with corporate policies and processes

§  Procure supplies for multiple printing devices and fax machines

§  Present incident reports and/or minutes of all important events

§  Respond appropriately to emergencies or urgent issues as they arise

§  Direct and plan essential central services such as reception, security, maintenance, mail, archiving, cleaning, waste disposal and recycling

§  Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement

§  Manage purchases process and bids

§  Preparation of annual and 3-year budgets/plans for operational and capital expenses

§  Code invoices for payment, input into accounting system and forward original invoices to accounting for payment

§  Conduct periodic surveys across the assigned facilities following the preapproved procedures and routines

§  Coordinate vendor maintenance issues, follow up by using the appropriate software tools

EDUCATION: Bachelor's degree or equivalent required. Architecture, engineering or equivalent degrees/certification is a plus, and minimum of two to four years of previous relevant experience in similar roles in reputed com

EXPERIENCE: At least 5 years’ relevant experience in previous similar roles in reputed multi-national companies.

ATTRIBUTES/SKILLS:

§    Fluency in verbal & written English and Spanish. Ability to comprehend and interpret instructions in English and local languages in Bangalore. Ability to write routine reports and correspondence. Ability to respond to inquiries or complaints from internal stakeholders, site leader and/or supervisors. Ability to present internal reports in English

§    General knowledge of financial terms and principles. Ability to conduct and design RFP processes categorizing efficiency rankings and to prepare facility budgets for short term and long term

§    Extensive skills with Microsoft Office Suite

§    Effective managerial skills including ability to motivate and develop a high performing team and ability to delegate effectively

§    Excellent communication skills, interpersonal relationships, initiative and analytical

§    Effective decision making balancing competing priorities and objectives, keeping the big picture in mind

§    Teamwork: Promotes cooperation, collaboration and partnership among cross-functional teams
