MAIN GOAL
*Give administrative support to an international technology company.

You will have secretarial, administrative and accountable tasks such as:
- Overlook general functioning of the office.
- Elaborate, register and manage formal and accounting documentation of the company.
- Attend and provide support to clients, suppliers, staff and associates.

RESPONSIBILITIES
- Be in charge of the general office functioning (maintain equipment inventory, monitor usage, make monthly purchases of stationery and other necessary supplies), manage payments and cash register.
- Schedule, attend and prepare meetings. Manage associates calendar. Make travel arrangements (request and compare budgets, make reservations, verify all travel requirements are met).
- Attend incoming phone calls and mails, receive, register and distribute messages and relevant information.
- Assist visitors, clients, partners and new staff.
- Be in charge of customer invoicing, and register accountable information of expenses, sales and payments. Support the external accountant and the financial department by compiling and organizing all accountable documentation (such as invoices, tickets, credit card expenses and taxes)
- Manage clients’ contracts, create sales orders. Request and keep track of several budgets and organize purchases.
- Obtain, prepare and put together all necessary information for public tenders and contests.
- Keep archive and legal documentation up to date.
- Assist the marketing department by arranging requested purchases and sending out invitations.
- Conduct research and manage projects as requested. Prepare reports on different topics.

EDUCATIONAL AND FORMAL REQUIREMENTS
- Finished High School Diploma.
- Studies in secretarial tasks, administration, business and/or commerce are a plus.
- English (Minimum level: First Certificate in English)
- Excellent computer skills, especially in Microsoft Office (Excel), Google docs and digital media.
- ERP knowledge such as Odoo, Conty, or others is preferred.
- Minimum 2+ year of previous experience in the same field.

EXCLUDING TRAITS
- Finished High School Diploma.
- First Certificate in English
- 2+ Previous working experience ins similar tasks and/or studies in accounting, secretarial or business administration.
- Good computer skills, expertise in Excel and Google Sheets.
